DIRECTOR OF ARTISTIC ADMINISTRATION

Portland Opera seeks qualified candidates for a new senior level management position. In coordination with the General Director, Christopher Mattaliano, the DAA‘s duties encompass artistic management - including researching singers and potential productions, hiring singers and other artists, forging relationships with agents; oversight of the musical elements of each opera production, managing the Portland Opera Studio Artists (POSA) program as well as a variety of education & outreach programs; departmental duties include budgeting, contracting, and personnel management.  The DAA also works closely with the Director of Production to determine production expense budgets.  Complete job description available upon request.

Qualifications:  Experience at a professional opera company preferred; graduate degree in Music and/or Arts Administration; thorough understanding of opera repertoire and voices; strong leadership, communication, negotiation skills. Strong written and verbal communication skills are highly desirable.  Salary DOE. Must be able to begin work by August 18th.

ARTIST COORDINATOR

Portland Opera is looking for qualified candidates for a new position in the restructured artistic administration department.  The Artist Coordinator (AC) provides administrative support to the Director of Artistic Administration by coordinating travel and housing for visiting artists (singers, directors, designers, etc.), processing artist contracts, obtaining updated artist bios, scheduling auditions for singers and musicians, processing and tracking performance and education/outreach program costs, preparing payroll summaries, and related duties.  The AC works closely with the Production Clerk, particularly in the area of cost tracking and reporting.  

A minimum of 3 years of related experience is required, including data management, contact management, basic bookkeeping, and reporting.  Must be data-oriented, well organized, and accurate; have intermediate Excel and Word or above skills; strong verbal and written communication, and organizational skills.  Helpful skills and experience include working knowledge of opera repertoire and production processes, ability to read music, and experience working in a fast-paced project-oriented work environment.

DEVELOPMENT ASSISTANT

(Part-time)

Portland Opera seeks an enthusiastic, positive, experienced individual to join a dynamic development team. The Development Assistant is a part-time, benefited position (20 hrs/wk) with an opportunity for a flexible work schedule. This position provides critical data management and clerical support for the development department by managing the donor database, processing and accounting of gifts received, creating and running reports, and providing basic clerical support to thank donors and maintain donor records.        

The successful candidate should be positive, well-organized, accurate and a creative problem solver. Candidate should possess a minimum of two years’ experience in administrative support and data management, preferably in a non-profit and/or fund-raising setting; basic knowledge of relational databases and bookkeeping principles. Intermediate or above Microsoft Excel and Word skill level are essential, particularly mail merge and data management features. Solid verbal and written communications required. A love of opera and/or the performing arts and past experience with a fundraising database are plusses but not required. A full job description is available upon request.

PATRON SERVICES SALES AGENT (Afternoon/Evening Position)    

Portland Opera has an immediate opening for a Patron Services Sales Agent (PSSA).  The PSSA reports directly to the Director of Sales and Patron Services (DSPS).  Our sales staff maintains a high profile in the marketplace and enjoys a well-earned reputation for its professionalism and courtesy.  The sales office is highly productive and provides significant revenues to Portland Opera in the form of ticket sales and contributions.  It provides ticketing and customer services for Portland Opera productions and Broadway Across America-Portland series.  We work in comfortable and spacious office, and maintain a highly communicative and respectful professional work environment. This is a part-time, non-exempt, temporary position.  Compensation based upon hourly wage plus commission.

ESSENTIAL JOB DUTIES:
•    Work schedule is Monday through Friday, with variable hours, including evenings
•    Sell packages for the Portland Opera and Broadway Across America-Portland Series
•    Solicit contributions for the Portland Opera and Broadway Across America-Portland development programs
•    Handle payments according to established policies and procedures (e.g., cash, check, charge, gift certificates, etc.)
•    Assist customers in securing their desired seats in a positive and professional manner
•    Keep up-to-date information for current events and offers on hand
•    Complete order forms, sales notes, etc. in a timely and accurate manner
•    Maintain knowledge of office operations and customer service protocols.
•    Perform other duties required by the sales team as directed

ESSENTIAL SKILLS AND EXPERIENCE:
•    Demonstrated experience in a sales and customer service environment
•    Excellent verbal and strong written communication skills; excellent basic math skills
•    General knowledge of a performing arts organization a plus
